Building a Single Source of Truth: Internal Portal Development for an Industrial Business

Building a single internal portal is straightforward in principle and genuinely difficult in practice, because the hard part isn't the interface — it's reconciling the different, often inconsistent, sources of data and process sitting behind it. Before any interface design began, we worked through how projects, communications and employee data actually moved through the business, identifying where the same information was being duplicated, contradicted, or simply lost between departments.

That alignment work directly shaped what the portal needed to do. Rather than building a generic project management tool and hoping the business adapted to it, we designed the portal around the business's actual structure and workflows, so that project tracking, internal communications and employee records could all draw from the same underlying source of truth instead of three separate ones.

The result was a platform employees and managers could rely on as the default place to check, rather than one of several competing sources — which is ultimately what determines whether an internal tool like this gets used or quietly abandoned within a year.
